I am writing you to introduce the Community Life Network polices for Sponsored Projects as applicable to _______**** name of project(s)******_______.  We have been working for many years to get these policies all documented in one place as an easy guide to better support your project as well as the umbrella non-profit overall.  The attached documents are meant as a reference guide to use as needed depending on where you are in the cycle of your projects activities.  It could take months or even years before we expect everyone to be up to date, understanding and accomplish all of these policies and protocols, and we will be helping you through the process the whole way.

Your welcome to read though the policy packets now, but this email is intended to give you a summary of the necessary steps that you should complete now, as we begin to implement integration of these policies into our Sponsored Projects.  All the policy details can be integrated overtime in sync with your existing on-going program activities, and we are confident these policies will not hinder you, but instead uplift and support your project or programs success and accomplishments.

Top Legal Requirements for CLN Fiscally Sponsored Projects:
    This packet details the Top Legal Requirements that every Sponsored Project MUST complete in order for us to ensure that we can keep our non-profit tax-exempt status.  If you do not complete these requirements on an annual basis, we will have to end your projects sponsorship or risk loosing the non-profit status for all of the projects under our umbrella, and future ones that we hope to support.  Luckily these legal requirements are not that complicated, and you are not on you own to complete them.  We are all here to help each other make sure that we can learn and accomplish the required tasks needed to keep our non-profit status.  If you are busy and overwhelmed right now, don't worry about all this information, just do what is asked within this email, and we will guide you overtime to accomplish all the required tasks by the end of the year.

Other Most Important CLN Policies and Protocols:
    In this packet we detail the other most important policies and protocols that your sponsored project needs to accomplish to support the umbrella non-profit to keep its non-profit status, and to engage in our collective community that we all rely on.  If you do not accomplish some of these policies, it will not result in risking the loss of our non-profit status, but it will be more difficult for us to track and report the information needed to ensure our legal standing as a non-profit, or worse yet, to loose credibility in the non-profit sector. So the protocols are still mandatory, just not urgently essential.  If you have not yet accomplished the Top Legal Requirements, you should not bother attempting the other most important policies and protocols, just focus on the legal requirements first.  It could take months if not years to slowly incorporate these protocols and processes into your projects operations, and we are here to help each other do this so the process is beneficial to everyone.

We feel that the best way to encourage you to apply these policies and protocols, is to show them by example. So the first step to helping us all begin the process of implementing these policies, is for us increase communication and collaboration together as a collective umbrella non-profit organization.  We have been planing within our internal structure to create what we call the "CLN Leadership Council" and this is the perfect opportunity to initiate the council and help each other to ensure the security and long term continuity of our non-profit status.

The Leadership Council is simply made up of at least one representative from each Sponsored Project.  Everyone who is part of your projects "Leadership Committee" should be invited to participate in the CLN Leadership Council, but only one representative is required.  Participating in the Leadership Council will not be a lot of work, and our intention is that it will actually decrease your workload because we will all be helping each other accomplish the tasks that we are required to do for each project.

The Leadership Council currently is not intended to have regularly scheduled conference calls, and only needs to meet in real-time on an as needed basis.  Most of the communication and decision-making will take place though emails and online voting.

So the first step is to make sure everyone gets on the Leadership Council Email List. In addition to basic email communication, we also feel that to start us out correctly we should go ahead and schedule a one time conference call so that we can all check-in with each other and be able to collectively ask questions.  For now this would be a one-time thing, and will give us the chance to learn a bit more about CLN policies an protocols.  Here is the link to start scheduling the first CLN Leadership Council conference call:

A long-term undertaking, we have finally consolidated all policies into a single document for you to reference throughout the cycle of your program activities. Though it will take time to integrate the policies into your operations, we are here to assist 100% along the way. We are confident the policies will uplift and support your project’s continual and future success.

Leadership Council
As we begin to integrate these policies, we feel this is a perfect opportunity to initiate the “Leadership Council" to increase communication and collaboration among FSPs as a collective umbrella non-profit organization. The Leadership Council includes at least one representative from each FSP. Our intention is that participating in the Leadership Council will actually decrease your workload because of group collaboration towards harmonizing goals. The Leadership Council meets via conference calls on an as-needed basis and does not have scheduled meetings. Most communication and decision-making will occur via emails and online voting.
